Labada Laundry
Laundry Management System – System Manual · version 1.0.0
System Manual
Step-by-step instructions for every part of the system. Version 1.0.0.
1. Getting started
Open the system address in a modern browser (Edge, Chrome, Safari, Firefox) on a computer, tablet or phone and sign in with your username and password.
- Menu – on the left. On tablets and phones tap ☰ to open it. On a computer the « button shrinks it to icons.
- Light / dark – the sun / moon button at the top right.
- My profile – tap your initials at the top right to change your name, email, photo or password.
- Install as an app – press Install app at the top (Edge, Chrome, Android), or on iPhone / iPad use Share → Add to Home Screen.
- Sign out – the arrow beside your name. Always sign out on shared computers.
Roles
- System Administrator – everything, including backups and system updates.
- Owner / Manager – services and prices, users, settings, expenses, supplies, reports, and everything the cashier does.
- Cashier / Front Counter – takes in laundry, creates job orders, receives payments, releases orders, manages customers.
- Laundry Attendant – moves orders through washing, drying and folding, uses the machines, records supplies used.
2. Taking in laundry (new job order)
- Open New job order.
- Customer – type a name or mobile number and pick the customer. A customer's standing discount and address are filled in. New customer: type the name and mobile and leave Save as a new customer ticked. No details: tap Walk-in.
- Services – tap a service to add it (use the category buttons to find it). Type the kilos, loads or pieces. Add-ons (detergent, fabric conditioner, bag) have a dashed edge. Other / custom item adds anything not in the list.
- Laundry details – total weight, number of bags, the ready-by time (filled in; a rush order is shorter), pick-up or delivery (address and fee), and notes such as stains or special care.
- Discount – an amount or a percentage, with a reason. Senior / PWD 20% fills it in at once.
- Payment now (optional) – the amount paid, the method, the cash received (the change is shown) or the reference number. Pay in full fills in the total.
- Press Save & print slip. Give the claim slip to the customer. On the order page print the Bag tags and attach one to each bag.
A minimum charge (e.g. min. 3 kg) applies by itself: the amount is marked with * on the screen and "min." on the slip.
3. Moving orders: the Laundry board and the order page
Every order goes through: Received → Washing → Drying → Folding / ironing → Ready → Released.
- Laundry board – one column per stage. Tap Next on a card to move it on. Rush and overdue orders come first. Search by order number or name. It refreshes every 10 seconds, so a tablet near the machines always shows the current work.
- Order page – Move to … moves it one step; the list beside it sets any stage (also back, for example when something must be washed again).
- Starting a washer, dryer or ironing station for an order moves it to the right stage by itself.
- An order past its ready-by time is overdue: it is marked red on the board, the dashboard and the list.
4. Machines
- Open Machines. Green = available, blue = running, red = maintenance.
- Press Start, choose the order (or none for self-service) and check the minutes. The timer counts down on every device.
- When the time is up the card turns orange and the button turns green: take the laundry out and press Done / stop.
- Maintenance takes a broken machine out of service until Back in service.
Managers add, rename and remove machines and set the usual cycle time with Add machine and the edit button.
5. Payments and releasing to the customer
- Find the order: dashboard Ready for pick-up, the board, or Job orders search (order number, name or mobile).
- In Receive payment check the amount, choose the method, type the cash received or the reference number. Keep Release the laundry now ticked and press Receive payment.
- Already paid: press Release (claimed). You can type who picked it up.
- A payment entered by mistake: Void it with a reason.
The Payments page shows the money received per day, method and cashier: use it for the end-of-day cash count. Releasing unpaid laundry is only possible when it is allowed in Settings → Orders & receipts.
6. Customers and order tracking
- Customers – add, edit and search customers; see how many orders they made, what they spent and what they still owe. Standing discount applies to every new order.
- A customer with orders cannot be deleted; it is switched off instead (history stays).
- Tracking – the claim slip shows a 6-letter code. On the tracking page (footer link Track your laundry) the customer enters the order number and the code to see the stage, the ready-by time and the amount due.
- Text customer on the order page opens your phone's messages with a ready-made text and the tracking link.
7. Supplies, expenses and services
- Supplies & stock – In when a delivery arrives, Out for what was used, Count (managers) to set the real count on the shelf. At or below the reorder level the item turns red and shows on the dashboard.
- Expenses – rent, electricity, water, detergent, wages, repairs… They are subtracted in the reports.
- Services & prices – name, category, how it is charged (per kg, load, piece, pair, set, item), price, minimum, how many hours until ready, and whether it is an add-on. A service used in past orders is switched off instead of deleted.
8. Reports & analytics
Choose a period (or a quick button: Today, This week, This month…). You see sales, payments collected, expenses, net cash, orders, kilos, average order, unpaid balances, discounts and how many orders were ready on time; then tables per day (per month for long periods), per service, per payment method, expenses per category, top customers, staff and the busiest hours.
- Print / PDF – a printable report with your logo and signature lines.
- Excel – a workbook with a sheet per table and a sheet with every order.
9. Settings, users and the activity log
- Settings → Shop details – name, address, phone, email, TIN, opening hours, currency. Printed on slips and reports.
- Settings → Orders & receipts – order number prefix, standard and rush ready times, delivery fee, release rules, reference numbers, slip paper (58 / 80 mm), message and terms.
- Settings → Appearance – theme colour, menu colour, light or dark, system and app name, logo.
- Users & roles – add staff, choose their role, reset passwords, switch accounts off.
- Activity log – who did what and when (sign-ins, orders, payments, voids, settings).
10. Backups and System Updates (System Administrator)
- Backups – Make a backup now creates a package of all files and the database with a stand-alone installer. Download it and keep it safe. A backup can be restored on this site or installed on a new server with its installer.
- System Updates – connects this site with another copy (local and online) using a shared deploy key. Update the other site now sends this site's program files; Get the other site's changes brings the other site's files here. A full backup is made first, and every update can be rolled back. Never sent: the settings file, the database contents, uploads and backups.
- System reset – clears job orders and payments, customers, expenses, stock history, the activity log and (optionally) staff accounts or supply stock, for example before handing the system to a new client. Services, machines, supplies, settings and System Administrators are kept. A database backup (Before system reset) is made first; restore it in Backups to undo. You need your password and must type RESET.
